This Privacy Policy explains how MedicalHost ("MedicalHost", "we", "us", or "our") collects, uses, discloses, and protects information in connection with the website at medicalhost.foundation and the related telemedicine platform (together, the "Service"). MedicalHost provides software that connects patients with independently licensed healthcare providers; we are not a healthcare provider and we do not practice medicine.
1. Information we collect
a. Information you provide
- Account and contact information — name, email address, phone number, organization, and role when you request a demo, sign up, or contact us.
- Practice information — practice name, specialty, and similar details that help us provision the Service for your team.
- Visit and messaging content — when you use the platform as part of a virtual visit, content you submit (intake answers, secure messages, files) is processed on behalf of the healthcare provider you interact with.
- Support communications — the contents of messages you send to our support team.
b. Information collected automatically
- Device and browser information (browser type, operating system, language).
- Usage information (pages viewed, time spent, referring URLs, approximate location derived from IP address).
- Cookies and similar technologies used for session management, security, and basic analytics.
c. Information from healthcare providers
If you receive care through a provider that uses MedicalHost, that provider may upload information about you (for example, appointment scheduling data and clinical notes) to deliver care. In that context, the provider is the controller of the information and MedicalHost acts as a service provider subject to a written agreement, which may include a Business Associate Agreement under HIPAA where applicable.
2. How we use information
- To provide, maintain, secure, and improve the Service.
- To respond to your enquiries and support requests.
- To administer accounts, billing, and subscription management.
- To send transactional communications (account notices, security alerts, scheduling reminders).
- To comply with legal obligations and enforce our Terms of Service.
- To detect, prevent, and address fraud, abuse, and security incidents.
We do not sell your personal information. We do not use protected health information for advertising purposes.
3. Cookies and analytics
We use a small number of cookies to keep you signed in, remember preferences (such as the cookie banner choice), and measure aggregate usage. You can control cookies through your browser settings. Disabling cookies may affect the functionality of the Service.
4. Sharing of information
We share information only as needed to operate the Service:
- Service providers — vetted vendors that support hosting, communications, e-prescribing, payments, and analytics, under written confidentiality and data-protection terms.
- Healthcare providers and clinics — when you use the platform to receive care, your information is shared with the licensed provider treating you.
- Legal and safety — when required by law, valid legal process, or to protect the rights, property, or safety of MedicalHost, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, with appropriate notice where required.
5. Data retention
We keep personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce agreements. Patient records uploaded by a provider are retained according to that provider's instructions and applicable law.
6. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and audit logging. No system is perfectly secure; please use strong, unique passwords and notify us promptly if you suspect unauthorized access.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to or restrict certain processing. You may also have the right to lodge a complaint with a supervisory authority. To exercise any of these rights, contact us at privacy@medicalhost.foundation. If your information was provided to MedicalHost by a healthcare provider, please contact that provider directly for record requests.
8. HIPAA
MedicalHost is designed to support HIPAA-aware workflows. When acting as a Business Associate of a Covered Entity, we operate under a Business Associate Agreement that governs our handling of Protected Health Information.
9. Children
The Service is not directed to children under 13. A parent or legal guardian must establish and supervise any account used to receive care for a minor.
10. International users
MedicalHost operates from the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States, which may have different data-protection rules than your country of residence.
11. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date and, where appropriate, provide additional notice.

These Terms of Service ("Terms") govern your access to and use of the website at medicalhost.foundation and the MedicalHost telemedicine platform (collectively, the "Service"). By using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
MedicalHost provides software tools that help patients connect with independently licensed healthcare providers and that help clinics operate virtual care workflows. MedicalHost is not a healthcare provider, does not practice medicine, and does not provide medical advice, diagnosis, treatment, or prescriptions.
2. Not for emergencies
The Service is not designed for emergencies. If you believe you are experiencing a medical emergency, call 911 or go to the nearest emergency department immediately. Do not rely on the Service for urgent or life-threatening situations.
3. Eligibility and accounts
You must be at least 18 years old (or have a parent or legal guardian act on your behalf) and legally able to enter into these Terms. You agree to provide accurate registration information, keep your credentials confidential, and notify us promptly of any unauthorized use of your account.
4. Patient–provider relationships
Any clinical relationship formed through the Service is between you and the healthcare provider you communicate with. The provider is solely responsible for the care and clinical decisions related to your treatment. MedicalHost does not control or direct the practice of any provider and does not warrant any clinical outcome.
5. Acceptable use
You agree not to:
- Use the Service in any way that violates applicable law or regulation.
- Submit false, misleading, or fraudulent information, including impersonating any person or entity.
- Interfere with or disrupt the integrity or performance of the Service or attempt to gain unauthorized access.
- Reverse engineer, decompile, or attempt to extract the source code of the Service except as permitted by law.
- Use the Service to send unsolicited communications, malware, or harmful content.
6. User content
You retain ownership of the content you submit through the Service. You grant MedicalHost a limited, worldwide license to host, store, and process that content solely as needed to operate the Service for you and, where applicable, for your healthcare provider. You are responsible for ensuring you have the right to submit any content you upload.
7. Subscriptions, payments, and refunds
Some features of the Service are offered on a paid subscription basis. Fees, billing periods, and any applicable taxes are described at the time of purchase. Subscriptions renew automatically until cancelled. Except where required by law, fees already paid are non-refundable. You may cancel future renewals at any time by contacting us or through the account settings, where available.
8. Third-party services
The Service may interoperate with third-party services (for example, e-prescribing partners, payment processors, or video infrastructure providers). Your use of those third-party services is governed by their own terms and privacy policies. MedicalHost is not responsible for the acts or omissions of third-party providers.
9. Intellectual property
MedicalHost and its licensors own all right, title, and interest in and to the Service, including all software, designs, trademarks, and content provided by MedicalHost. These Terms do not grant you any rights to use MedicalHost trademarks without our prior written consent.
10. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. MEDICALHOST DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE FROM UNAUTHORIZED ACCESS.
MedicalHost makes no warranty regarding the quality of any care provided by any healthcare provider you reach through the Service.
11. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, MEDICALHOST AND ITS AFFILIATES, OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, OR DATA, ARISING OUT OF OR IN CONNECTION WITH THESE TERMS OR THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNTS YOU PAID TO MEDICALHOST FOR THE SERVICE IN THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM.
12. Indemnification
You agree to defend, indemnify, and hold harmless MedicalHost from any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising out of your use of the Service, your content, or your violation of these Terms.
13. Termination
We may suspend or terminate your access to the Service at any time, with or without notice, if we reasonably believe you have violated these Terms or to protect the Service or its users. You may stop using the Service at any time. Sections that by their nature should survive termination will survive.
14. Governing law
These Terms are governed by the laws of the State of Delaware, USA, without regard to conflict-of-laws principles. Subject to the dispute-resolution provisions below, the state and federal courts located in Delaware will have exclusive jurisdiction over any dispute that is not subject to arbitration.
15. Dispute resolution
The parties will first attempt to resolve any dispute informally by contacting legal@medicalhost.foundation. If a dispute cannot be resolved informally within 30 days, either party may pursue formal proceedings in the venue described above. Nothing in these Terms prevents either party from seeking equitable relief in any court of competent jurisdiction.
16. Changes to the Terms
We may update these Terms from time to time. When we do, we will revise the "Last updated" date and, for material changes, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
